Find Every Smartsheet You Have Published to a Public URL

A published sheet is live on a URL that works without a Smartsheet login. Scan every sheet and report you own in one pass, see who can reach each link, and find the ones that are editable by anyone — before somebody else does.

Why teams use it

Every public link, in one list

Scan your sheets and reports — up to 1,000 items in a run — and get one table of every live publication: read-only pages, Edit by Anyone pages and iCal feeds, instead of opening each item to check its Publish settings.

Ranked by how exposed it is

Each link is rated by who can reach it and what they can do. Anything editable by anyone with the link sorts to the top, so the worst finding is the first thing you read.

No admin console required

Smartsheet only reports published items to System Admins, as an emailed spreadsheet. This audits the items you own or administer, so any user can check their own exposure.

How it works

Run the audit

Scan your sheets, and your reports too if you like. Dashboards are not covered — Smartsheet publishes those separately. Nothing is changed: it only reads publish settings.

Read the findings

Every live public link, worst first, with who can reach it and whether they can edit.

Take down what should not be public

Open the flagged item and turn its publication off (the Publish control on a sheet or report, File → Publish on a dashboard), or export the list as CSV to hand on.

Frequently asked questions

How do I find which Smartsheets are published?

Run the audit and it checks the publish setting on every sheet and report you own or administer, then lists each live public link with its URL. Smartsheet itself only reports this to System Admins, as an emailed spreadsheet. Publishing is a Business and Enterprise feature, so there is nothing to find on a Pro plan.

Who can open a published Smartsheet link?

It depends on the setting. Some publications are restricted to people in your organisation or to existing collaborators, but others work for anyone holding the URL, with no Smartsheet login at all. The audit tells you which is which for every link.

Can a published sheet be edited by strangers?

Yes — Smartsheet’s "Edit by Anyone" publication lets anyone holding the URL change your data, with no login. The audit flags every one of those as high risk so you can find them immediately.

Prefer to do it by hand first?

How to check whether a Smartsheet is published to a public URL, switch the publication off, and find every other sheet or report of yours still live on a link.
