Frequently asked questions

Can I see a list of all automation workflows in Smartsheet?

Not in Smartsheet itself — it shows automation one sheet at a time. This scans every sheet you can open — up to 1,000 in a run — and lists the notification, approval and update-request rules together, with their recipients, triggers and status. Smartsheet’s API does not expose multistep workflows, so those cannot appear.

How do I find which workflows email a certain person?

Search the inventory by their email address. Every workflow that names them as a recipient is listed, across all your sheets, so you can clean up before or after they leave.

Why did my Smartsheet workflow stop working?

Smartsheet disables a workflow on its own when the sheet changes under it — a column it uses is deleted or changed type, or its last recipient is removed — and on that sheet it shows as "Unable to run" rather than "Inactive". What Smartsheet cannot do is show you every one of them across all your sheets at once, which is what the inventory lists — each with the reason, in plain English.
